1. Who we are
MedTalk Network (“we”, “us”) is a South African medical education and healthcare networking company. We are the “responsible party” for the personal information described in this policy.
Contact: info@medtalk-network.co.za · 060 962 7744
2. What information we collect
Event booking form
- Full name, email address and phone number
- Profession, and optionally your HPCSA or SAPC registration number
- Practice or organisation (optional)
- The event you are booking and the number of seats
- Dietary requirements and any message you choose to include (optional)
Dietary requirements may reveal information about your health or religious beliefs, which POPIA treats as special personal information. Only share what is needed for catering, and we only use it for that purpose.
Contact and partnership form
- Name and email address
- Company or organisation and phone number (optional)
- The topic of your enquiry and your message
Information collected automatically
Our hosting provider records standard technical information (such as IP address and browser type) in server logs to keep the website secure and working. We do not use advertising or tracking cookies.
3. Why we use your information
- To manage your event booking, confirm your seat and communicate event details
- To record attendance for CPD purposes where applicable
- To respond to your enquiry, partnership, sponsorship or hosting request
- To meet our legal and accounting obligations
We process your information with your consent (given through the consent checkbox on each form), to take steps you have requested, and where required by law. We do not sell your personal information.
4. Who we share it with
Form submissions are delivered to our inbox by Web3Forms, a form-processing service that may store and process data outside South Africa. Where personal information is transferred across borders, we rely on safeguards permitted by section 72 of POPIA. Where an event requires it (for example, CPD attendance registers or venue catering), we share only the minimum information necessary with the relevant accrediting body or venue.
5. How long we keep it
We keep booking information for as long as needed to run the event and meet CPD record-keeping requirements, and enquiry information for as long as needed to respond and manage any resulting relationship. We then delete or de-identify it. Specific retention periods will be confirmed in the final version of this policy.
6. How we protect it
We use reasonable technical and organisational measures to protect your information, including encrypted (HTTPS) transmission and restricted access to submissions.
7. Your rights
Under POPIA you may:
- Ask whether we hold personal information about you and request a copy
- Ask us to correct or update inaccurate information
- Ask us to delete your information, or withdraw your consent at any time
- Object to processing of your information
- Lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za
8. How to request access or deletion
Email info@medtalk-network.co.za with the subject “POPIA request”, telling us what you would like us to do. We may need to verify your identity before acting on the request, and will respond within a reasonable time.
9. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page. Questions? Contact us.
